Athletic Administrators Meeting

1.                  Roll Call – Attendance

-         Meeting called to order at 9:00

-         Absent:  Gray

2.         Update Directory (Free) & Off Site Directions (Cape)

o       Directory passed out and changes made by St. Doms, Waynflete and Molly Ockett

o       Off Site Direction’s with Jeff.  Make sure AD s record any new off site addresses with Jeff

3.         Executive Secretary’s Report

- Minutes 8/21/08

o       Motion to Accept by Waynflete, 2nd by Poland

o       All in favor of accepting minutes 15-0

- Treasury Report

o       League assessments have been sent out by Ken Levinsky

o       Assessments reviewed and clarification regarding track and assessing non-conference schools.

o       Send checks to Ken Levinsky made out to WMC

4.         Old Business – Rising energy costs – GNG

o       Melanie has created a document with all the different ways that the schools in the conference are trying to safe energy.  The document can be shared with administration to show what we are trying to do.

o       Motion to accept document by Lake Region, second by Old Orchard

o       Motion passes 17-0

o       Should be added to the August business calendar and can be updated each year or when needed.

5.         New Business

                        - MPA Reports/News/Info

§         No reports

                        - MIAAA/NIAAA Reports/News/Info

§         Susan spent weekend in Indianapolis regarding LTC courses and is busy coordinating fall conference courses and what will be offered.

§         Looking for more people to take the 790 course for certification to teach courses

§         Check website to see what you might want to have offered in the spring

§         Courses help with certification with state.

§         Susan shared new LTC course booklet

§         Fall conf. Oct 27th.

§         $100 MIAAA and NIAAA covers fall 08 to fall 09

                        - 1st Team Philosophy

§         York uses 9th and 10th graders on freshman teams

§         May take away stigma of it being “freshman” when sophomores or juniors play with them.  Could become less demeaning if well communicated within the community.

§         Must ensure equity amongst who is playing

§         Some schools have no-cut policies

§         Need to have guidelines for 1st team philosophy

§         Allows us to offer more programs for kids

§         Check with SMAA regarding document containing guidelines for 1st team philosophy.  Ted will check with the SMAA.

6.         Individual Sport Reports

            Fall:     

  • Forward varsity rosters (with numbers) as soon as you can

                        Cross Country – Waynflete

      • Preseason coaches meeting took place
      • Concern with Conf. meet on 10th with rain day on the 17th.
      • Unanimous recommendation from coaches that we recognize a B Champion and a C Champion at the Conf. meet.  Not about the plaques but the opportunity to compete for a championship.
      • Would still run one race but would score it out by class.
      • Soccer only has 5 boys and girls class C teams and we do recognize a champion.  Track has 6 Class C schools but we recognize only 1 conference champion.
      • Need to review guidelines and conference constitution to make sure that everything is done equitable.
      • Guidelines are approved for this year but have a recommendation to change the guidelines for the next year.
      • There was discussion from track coaches regarding the same issue but there would be difficulties regarding the length of the meet.
      • Greely would host a meet on Wednesday, October 1st instead of Friday, 10/3.  This would allow schools to go to Belfast.  (York, Freeport, Fryeburg and Well)  Poland, St. Dom’s and Gray will still go to Lake Region.

                        Field Hockey – York/OOB

      • Follow up from August meeting.  Rule changes with scoreboard and clocks.  Shutting off clocks during final minute of play. 
      • Officials are giving hand signals.
      • If you don’t have a microphone, the hand held clock must be used instead of using visible clock.  Issue is only if there is going to be a corner.  It all depends on your timing season.
      • Officials do not seem to be clear on the matter either.
      • Need/want to stay consistent throughout the conference regarding how each school will handle the last minute of the game.
      • Check the Arbiter regarding make-up dates.  Can’t schedule same day as SMAA games. 
      • Only 18 qualified officials, not many out there.
      • Yarmouth would like to play all varsity games (even home under the lights) first with jv to follow because they only have 22 players total on their roster. 
      • St. Dom’s would like to play 8 v 8 if needed with their jv field hockey
      • Jack reviewed the changes in guidelines for field hockey
      • Motion to accept by St. Doms, 2nd by Falmouth
      • Motion passes 17-0
      • Coaches meeting on October 20th at OOB, 6:00 pm

                        Football – York

      • Coaches all-star meeting for Class B Nov. 3rd at Cape at 6:30
      • Coaches all-star meeting for Class C Nov. 3rd at Cape at 6:30
      • Jack and Ted will be present.
      • Wednesday Nov. 5th will be the AD meeting, 9:00 am in Lisbon
      • Mid-state league will meet right after that at approx. 11:00 am

                        Golf – Lake Region

      • GPS devises should not be used in play.  Lazars are not mentioned but they should not be used during conference meets.  MPA should include lazars in their bulletin. 
      • SMAA does not allow GPS or lazars. 
      • Motion that we do not allow GPS or lazars at matches because they will not be allowed at conference meet (Freeport) 2nd by Poland.
      • Motion passes 17-0
      • Paul sent out email regarding use of GPS
      • Yarmouth can host jv golf on Fridays.  Contact Susan.
      • St. Dom’s hosting a jv tournament at Foxridge.  Burgers after for $5 a head.
      • Page 3 of MPA handbook.  Must have at least 3 teams in your conf. to have an automatic bid.  We have 4 teams.  Can we get into qualifying round with MVC?  If we did that, it is possible that few MVC teams would qualify.  Next year, 1 day qualifying round for top 3 qualifiers. 
      • Oct. 1st at Willowdale 1:00 and Oct. 7th is the team and individual qualifier. 
      • Question about Waynflete participating and how it will affect the class C qualifiers.
      • Jeff Sturgis says WMC doesn’t uphold rules for individual qualifying.  He is miss-informed.
      • Oct. 6 will be for the girls’ qualifier. 
      • Date for all-star meeting:  Paul will send out the information.

                        Soccer – Yarmouth

      • Post-season meeting is Monday the 27th at 6:00 at Yarmouth HS.

                        Volleyball – Greely

      • No report

                 Winter:

                        Basketball – Freeport / GNG

      • Date by date with girls and boys varsity and jv schedule
      • Discussion regarding scouting scrimmages.  Nothing in current guidelines regarding scouting.
      • Possible discussion at coaches’ meeting regarding scouting.
      • Download schedule into Arbiter and send a copy to Larry as soon as possible. 
      • Schedule’s downloaded through League Central
      • Freshman Schedule
        • Who has teams:  Boys/Girls:  Cape, Falmouth, Frye, Gray, Greely, Poland, Wells, Yarmouth, York, OOB, St. Doms, Traip??, 7 Girls and 11 boys teams. 
        • 14 games scheduled, triples when possible and geographical scheduling.

                        Cheering – St. Dom’s

      • Wells will hold cheering competition.  York is back in cheering.  January 10th.  Time TBA

                        Ice Hockey – Cape

o       Planning on meeting the 18th for A boys West 8:30 at Cheverus.  Girls at 10:30.  B schools Wednesday the 24th 10:00 am at Cape.

o       Cross-over games scheduled before the meeting

o       Long trip dates Dec 12-13 and weekend of Jan 16

o       JV games picked up after meetings

o       Girls start 2 weeks before boys (Nov. 3 and games Nov. 21)

o       NYA playing in the prep league.  Need to rework the schedule. 

o       Yarmouth has ice time back to back.  Looking for varsity double headers.

                        Skiing – Alpine – Lake Region

o       Revised schedule passed out looking for a motion to approve.

o       Moved by Fryeburg, 2nd by Freeport

o       8 in favor, 9 abstentions , motion passes

                        Skiing – Nordic – Fryeburg

o       Schedule passed out.  Sue reviewed mistakes on schedule and schools involved.

o       Motion to accept by Freeport, 2nd by Yarmouth

o       9 in favor, 4 abstentions.  Motion passes

                        Swimming – Falmouth

o       Todd met with Todd Sampson of Westbrook on scheduling.

o       2 to 3 less meets depending on grouping

o       3 pools per group

o       Southwesterns will remain as is

o       Some issues regarding pools and schools with divers

o       Yarmouth- won’t see many other pools in schedule

o       Scheduling meeting date Friday October 17th at Westbrook Reg. Voc.  10:00 am

                        Track – Indoor – Greely

o       Draft schedule passed out, Mike reviewed schedule.

o       Schedule has teams from last year but we will check to see who will have a team.

o       Dates and times are good with USM.  Will mix up teams around in schedule.

o       States for B at USM

o       USM needs a copy of Insurance  From schools.

                        Wrestling – Wells

o       Nov. 5th in Lisbon for scheduling

o       Send schedule to Ted.

o       Traip and Lake Region low on numbers

                 Spring:

                        Baseball / Softball – Poland

o       New schedule this coming year.

o       Some desire to have a new assigner in Southern Maine for baseball.  Contracts not being followed.  Officials being assigned to same site several times.

o       Get back to Don for preferred opponents. 

o       Guidelines state we are in the second year of a two year schedule.

                        Lacrosse – Cape

o       Jeff will check in with Gary Hoyt regarding schedule

o       This is the year some schools can apply up because classification is not frozen

o       Scheduling issues:  tiers, etc., bumping up tiers

o       Looking to adopt same scheduling format for girls

                        Tennis – Falmouth

o       2nd year of a two year schedule.  Looking for any changes in who will have teams.

                        Track – Outdoor – Yarmouth

o       no report

7.         Announcements – anything not already discussed

o       Spring schedules to be approved next time.

o       Assigner discussion

o       Bob Boucher 5 K

o       X-country at Traip, buses park outside the gate.

o       Girls bkb for Gray hosting x-mas tourney

o       Greely under construction

o       NYA will attend Gray tourney

o       Cape next x country, remind runners please don’t use public works building and bring bug spray
